At trade fairs, planning mistakes cost money and opportunities. With over 40 years managing stands at Fira Barcelona, Hannover Messe and IFEMA, these are the lessons that nobody tells you before your first fair.
Planning: the deadlines that make the difference
Lead time varies significantly depending on the type of fair:
- Major international fairs (MWC, Hannover Messe, Alimentaria): start the process 8-12 months in advance.
- Mid-sized national fairs: minimum 4-6 months' lead time.
- Local or smaller fairs: at least 2-3 months.
Start-up checklist: contracted floor space, fully itemised budget, approved creative concept and key suppliers identified. Without these four pillars in place, the process will fragment.
Design and production: the real timelines
Once the space is booked, these are the critical milestones:
- Brief to the design team: 10-12 weeks before the fair.
- 3D renders and client approval: a further 2-3 weeks.
- Graphic production and printing: 3-4 weeks.
- Permit applications to the fair organiser: variable, but never leave this for the final month.
The most common mistake is compressing this phase. A late-approved design cascades into production delays that directly affect the quality of the final result.
On-site setup: coordination without improvisation
Setup is where planning becomes physical reality. Key operational points:
- Arrive at the venue 1-2 days before opening (exact timing depends on your contracted floor area).
- Establish an order of works: structure first, then electrical installation, then graphics and furniture.
- Designate a stand manager with decision-making authority on site to handle unexpected issues.
- Always bring an emergency kit: double-sided tape, screws, basic tools and access to an urgent printing service.
Dismantling: as critical as setup
Dismantling is the most overlooked phase and one of the most costly when handled badly:
- Fair venues apply financial penalties for overrunning dismantling hours.
- Start coordinating dismantling on the last day of the fair, not after it closes.
- Separate reusable materials from single-use ones: a clear labelling system saves significant time and money at the next edition.
- Conduct a post-fair debrief within 48 hours: what worked, what to improve, what not to repeat.
